Express Funeral Funding ("we," "us," or "our") operates the EFF Hub360 application ("the App"). This Privacy Policy explains how we collect, use, store, and protect your information when you use the App. By accessing or using EFF Hub360, you agree to the practices described in this policy.
1. Information We Collect
Account Information
When you create an account or are provisioned access to EFF Hub360, we collect:
- Full name (first and last name)
- Email address
- Phone number
- User role (e.g., administrator, agent, funeral home staff)
Authentication Data
We use email and password-based authentication. Passwords are securely hashed and managed through our authentication provider; we do not store plaintext passwords.
Claims and Business Data
In the course of managing funeral insurance claims, the App may process claim-related data including policy details, deceased individual information, claim status, and associated documentation as entered by authorized users.
Usage and Analytics Data
We collect anonymous usage analytics (such as page views and feature interactions) to understand how the App is used and to improve its functionality.
Locally Cached Data
The App uses your browser's localStorage to cache certain data locally on your device for performance purposes. This data remains on your device and can be cleared through your browser settings at any time.
What we do NOT collect: EFF Hub360 does not store your location data, access your camera or microphone, or gather any biometric information. If you choose to allow location access on the Home page, your browser shares your approximate location only to show local weather (see Third-Party Services).
2. How We Use Your Information
We use the information we collect for the following purposes:
- Authentication and access control — to verify your identity and manage role-based permissions within the App.
- Claims management — to facilitate the processing, tracking, and management of funeral insurance claims.
- Communication — to send you service-related notifications, updates, and support messages.
- App improvement — to analyze usage patterns and improve the performance, reliability, and features of EFF Hub360.
- Customer relationship management — to synchronize relevant claim and contact data with our CRM system for operational purposes.
- AI features (optional) — to provide Mo, Catch Me Up and Claim Drop when you choose to turn them on.
We do not sell, rent, or share your personal information with third parties for advertising or marketing purposes.
3. Data Storage and Security
Where Your Data Is Stored
Your account and authentication data is stored securely on servers managed by our authentication and database provider, Supabase. Claims and business data is managed through our CRM integration. All data is stored in secure, industry-standard cloud infrastructure.
How We Protect Your Data
We implement a range of security measures, including:
- Encrypted data transmission via HTTPS/TLS for all communications between your browser and our servers.
- Secure password hashing — passwords are never stored in plaintext.
- Role-based access controls to ensure users only access data relevant to their authorized function.
- Regular security reviews and updates to the App and its dependencies.
While we take reasonable measures to protect your data, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security.
4. Third-Party Services
EFF Hub360 integrates with the following third-party services to deliver its functionality. Each service operates under its own privacy policy:
Supabase
Used for user authentication (email/password sign-in) and secure database
storage. Supabase processes your account credentials and profile data.
Supabase Privacy Policy
Zoho CRM
Used for customer relationship management and claims data processing. Claim
details and related contact information are synchronized with Zoho CRM to
support business operations.
Zoho Privacy Policy
Zoho PageSense
Used for website analytics to understand user behavior and improve the App
experience. PageSense collects anonymized usage data such as page views and
click interactions.
Zoho PageSense Privacy Policy
AI provider
Used only if you turn on the optional AI features (Mo, Catch Me Up and Claim Drop). The records and documents needed for your request are processed by an enterprise AI provider that is bound by confidentiality terms, including a signed Business Associate Agreement. See "AI Features (Optional)" below.
Hosting and delivery network
Used to deliver the App to your browser. This provider handles the technical data needed to serve web pages, such as your IP address.
Email delivery
Used to send service emails such as sign-in codes, password resets and scheduled reports. This provider processes the recipient's email address and the message content.
E-signature service
Used when you send an assignment for signature. The signer's name, email address and the document are processed to collect the signatures.
Text messaging
Used only if you opt in to text-message notifications. Your mobile number is used to send the claim status updates you choose.
Address search
Used to suggest addresses as you type in forms such as New Claim. The text you type in an address field is sent to this service to return suggestions.
Weather and place-name services
Used only if you allow location access on the Home page, to show local weather. Your browser sends approximate coordinates directly to these services; EFF does not store them.
We only share data with these providers as necessary to operate EFF Hub360. We do not provide your data to any third party for advertising, data brokerage, or unrelated commercial purposes.
5. AI Features (Optional)
EFF Hub360 includes optional AI features: Mo (a chat assistant), Catch Me Up (a short briefing) and Claim Drop (which reads documents you upload to pre-fill a claim draft). They are off until you turn them on, and you can turn them off at any time in My Profile, under Security. When you turn them on, you are asked to agree to our Terms & Policy.
What the AI uses
- The records of the locations you are authorized to see in Hub360.
- Documents you choose to upload to Claim Drop.
- What you type in your conversation with Mo.
How it is handled
- Requests are processed by an enterprise AI provider under confidentiality terms, including a signed Business Associate Agreement.
- Your content is not used to train general-purpose AI models.
- Mo conversations are saved for you and deleted automatically after 90 days.
- When you correct something Claim Drop read, we may keep a masked version of that correction (names, numbers, dates and addresses hidden) to help improve results for all users.
AI can make mistakes. Please review every result before you rely on it or submit it. AI suggestions are not legal, financial, insurance or medical advice.
6. Developer API (Optional)
EFF Hub360 includes an optional Developer API that lets software you or your team build connect to Hub360 as you. It is off until you turn it on in My Profile, under API Access. When you turn it on, you are asked to agree to our Terms & Policy.
What the API can reach
- Only what you can see and do in Hub360: the records of the locations you are authorized to see, under your role and the same rules.
- Claims, drafts, messages and documents that your software reads, creates or changes through the API are handled the same way as when you work in Hub360.
What we keep
- Your API key is shown to you once. We keep only a one-way fingerprint of it, never the key itself.
- Each API call is recorded by endpoint, record number, time and result, never by content, and kept for 90 days. You can see your own usage in My Profile.
- Your agreement is recorded with the version of the terms you accepted, the date and time, and the technical details of the request (such as your IP address and browser), so we can show what you agreed to.
You are responsible for your software. Keep your key private, do not share it or Hub360 data with anyone who is not authorized to receive it, and turn API access off at any time in My Profile, which retires your key and signs out every session.
7. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal data:
- Access — Request a copy of the personal data we hold about you.
- Correction — Request that we correct inaccurate or incomplete personal data.
- Deletion — Request that we delete your personal data, subject to any legal obligations we may have to retain certain records.
- Data Portability — Request a machine-readable copy of data you have provided to us.
- Withdrawal of Consent — Where processing is based on consent, you may withdraw that consent at any time. For the optional AI features, use the switch in My Profile, under Security; for the optional Developer API, use the switch in My Profile, under API Access.
To exercise any of these rights, please contact us using the information provided below. We will respond to your request within a reasonable timeframe and in accordance with applicable law.

- Update the "Effective Date" at the top of this policy.
- Provide notice through the App or via email where appropriate.
